1. Who we are

Taloven is a UK-based recruitment technology platform. We operate at taloven.uk. Our company is in the process of incorporation in England and Wales - this policy will be updated with our company registration number once registration is complete.

We intend to register with the Information Commissioner's Office (ICO) before Taloven opens to the public. Our ICO registration number will be added here at that time.

2. What personal information we collect

Candidates

• Account details: name, email address, date of birth, gender (optional), city, country of residence, and citizenship
• Portfolio content: work history, education, skills, projects, certifications, photos, and any other content you add to your portfolio
• Your CV, if you upload one - stored encrypted and only revealed to recruiters after a confirmed match
• Right to work status - this is self-declared by you. Taloven is not a government verification service and makes no independent checks
• Deal breaker preferences: minimum salary, preferred work type, contract type, notice period, security clearance level, industry registrations held, and visa expiry date where applicable
• Enquiries sent to you through your portfolio contact form by third parties

Recruiters

• Account details: name, email address, company name, company registration number, and job title
• Company details: company website, company size, and industry
• Job postings: all information you enter when creating a role, including salary ranges, role requirements, and deal breaker filters
• Recruitment activity - shortlists you make, match outcomes you confirm, and ratings - but only if you have opted in to the recruiter performance tracking programme

All users

• IP address, browser type, and device type - used for security and fraud prevention
• Login history - used to protect your account
• Analytics events (which features you use) - only collected after you accept analytics cookies in the cookie banner
• Error reports - sent to our error monitoring provider with personal information removed before transmission
• Your cookie consent preferences

3. How we use your information

We use your personal information only for specific, defined purposes. The table below explains each purpose and the legal basis we rely on under UK GDPR.

We do not use your information for automated decision-making that produces legal effects without human oversight.

4. Who we share your information with

We do not sell your personal information to anyone, ever.

We share your information with the following service providers, who process it only on our instructions and under data processing agreements that meet UK GDPR requirements.

We share your information with other users on the platform only where necessary to deliver the service. For example, once a recruiter shortlists a candidate and the candidate accepts, each party can see the other's contact details.

We may also disclose information where required by law, or to protect the rights and safety of Taloven or its users.

5. International transfers

All personal data we hold is stored and processed within the EU or the UK. We do not transfer your data outside the EU or UK, and we do not use services that would require such a transfer.

6. How long we keep your information

• Account, portfolio, and CV data: retained while your account is active, then permanently deleted within 30 days of an account deletion request
• Analytics event data: up to 2 years
• Error logs: 90 days
• Financial records of recruiter payments: 7 years, as required by UK tax law
• Cookie consent records: for the period your consent is valid

When you close your account, we immediately remove your data from active use and permanently delete it within 30 days. Deletion cascades to all associated data, including portfolio sections, uploaded files, and embeddings.

7. Your rights under UK GDPR

You have the following rights over your personal data:

• Right to access - request a copy of all personal information we hold about you
• Right to rectification - ask us to correct any inaccurate or incomplete information
• Right to erasure - ask us to delete your data; we will complete this within 30 days
• Right to restrict processing - ask us to limit how we use your data in certain circumstances
• Right to data portability - receive your data in a structured, machine-readable format
• Right to object - to our processing of your data where we rely on legitimate interests
• Right to withdraw consent - at any time, for marketing emails or analytics cookies; withdrawal does not affect the lawfulness of processing before withdrawal
• Right not to be subject to solely automated decisions - that produce significant effects on you without human review

8. Cookies

We use two categories of cookies:

• Strictly necessary - these keep the platform working and cannot be switched off. They do not track you across other sites.
• Analytics - these (powered by PostHog) help us understand how people use Taloven so we can improve it. All analytics data is stored on EU servers and is never sold or shared with third parties. We place these only after you accept them in the cookie banner.

We do not use advertising or targeting cookies.

You can change your cookie preferences at any time by clicking the cookie settings link at the bottom of any page.

9. Children

Taloven is for people aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you believe we hold data about a child, contact us immediately at support@taloven.uk and we will delete it promptly.

10. Changes to this policy

We may update this policy when we change how we use your data, or when required to do so by law. If we make material changes, we will notify you by email before the change takes effect. The date at the top of this page shows when it was last updated.
